Overview of User Roles and Rights in Office 365

Please take a look at the list below to see what user roles exist in SmarterPath and what rights they have.

Generally, we distinguish between three user levels: User, Creator and Administrator and one sub user-level: Instructor.


User (a Learner): 

  • complete a Path
  • be assigned to a Path
  • has access to public Paths in the catalog and his/her Achievements
  • be selected as an Instructor in Live Trainings


Creator:

  • same rights as User
  • create and manage his/her Paths and Paths where he/she is made an Owner
  • assign Paths to other users
  • upload and manage his/her Office 365 content that is stored in the SharePoint sites


Administrator in SmarterPath: 

  • same rights as User and Creator
  • create and manage all Paths and Assets
  • manage user roles in SmarterPath (e.g. change their roles, activate/deactivate their profiles)
  • create SmarterPath User Groups


Instructor:

  • has access to the Instructor view for Live Trainings and can enter info for each Participant in the Live Training session (mark as attended, passed and put the scores);
  • Please note that the different user roles have different access to the Instructor view for Live Training sessions:
    • User: to the Paths in which he/she is selected as Instructor
    • Creator: to the Paths in which he/she is Instructor and which he/she has created
    • Administrator: to all Paths


If the user has both Administrator rights in SmarterPath and Administrator rights in Office 365, then in addition to his/her Administrator rights in SmarterPath, he/she also can:

  • view the license status of SmarterPath
  • apply for a new license
  • activate and deactivate users in SmarterPath

  • can be selected as Instructor in a Path
  • has access to Instructor-overview in Management section (visible for all Paths)
Create and manage a Path/

  • can view the license status, validation, licensee name and licensed users
  • can view the information for SharePoint sites (number of published sites, version No.)
  • can update license
  • can apply for new licenses
  • can edit/activate and deactivate Users (Office profiles)
  • can view the additional information (SharePoint Sites)
  • can view/check the authorization status of SmarterPath and (re)-authorize SmarterPath
